What it is

A data steward owns a domain of data rather than a system. Someone owns what an account is, what makes it complete, and who may change its industry classification — independent of whether that record lives in the CRM, the billing system or both.

Steward is not administrator

The administrator can change anything; the steward decides what should change. Conflating the two puts definitional authority with whoever happens to hold the permissions, which is how a field's meaning quietly shifts when someone new inherits the portal.

Per domain, not per company

Accounts and firmographics — usually marketing ops or RevOps.
Opportunity and pipeline data — sales ops.
Subscription, invoice and revenue recognition — finance.
Support and product usage — customer success or product.

One steward for everything is a bottleneck who will not have the context to arbitrate. No steward at all means every disagreement is resolved by whoever edits last.

What the role actually does

Approves new fields in their domain, arbitrates definitional disputes, owns the quality measures, and signs off integrations that write to their data. If nobody has to approve a new required field, the portal will accumulate them until nothing is required in practice.
