Suppression List

A list of addresses or domains deliberately excluded from sending or logging. The mechanism that keeps competitors, colleagues and private correspondence out of your marketing and your CRM.

What it is

A suppression list names addresses or whole domains that a system must not act on: not emailed, or not logged to the CRM, depending on the list. It is subtractive by design — an explicit exception to an otherwise automatic behaviour.

The two kinds, frequently confused

  • Sending suppression: addresses that must never receive marketing email — unsubscribes, competitors, bounced addresses, anyone whose consent has lapsed.

  • Logging suppression, often called a never-log list: addresses whose correspondence must not be written into the CRM at all. Your lawyer, your doctor, a candidate you are interviewing.

Why the logging list matters more than people expect

CRMs that log email from a connected inbox log all of it by default. Without a never-log list, private correspondence lands on a shared record where the whole team can read it. Most portals have both a personal list and a global one, and the personal list protects only its owner — a distinction worth knowing before assuming you are covered.

Domains over addresses

Suppress the domain where the whole organisation should be excluded. Address-by-address suppression fails the moment someone uses a different mailbox at the same company.

What is a never-log list?
A suppression list applied to CRM logging rather than sending: correspondence with these addresses is never written to a record. Most systems have both a personal and a global version, and they behave differently.
Does unsubscribing add someone to the suppression list?
To the sending suppression list, yes, automatically. It has no effect on logging, which is a separate control.
Should I suppress competitor domains?
For marketing sending, usually yes. It keeps competitors out of nurture and stops their engagement distorting your scoring and reporting.
